Description:

The Executive Coordinator (EC) is in charge of leading, coaching and managing projects staff to identify, set and agree on short and long-term objectives ensuring alignment with Mada’s Mission and vision and in alliance with Mada’s Ethic code as well as financial and administrative guidelines. The EC will focus on strategic directions that are defined by Mada’s Administrative Committee (AC) and identify accordingly funding strategy and needs.

The Executive coordinator reports directly to the Administrative committee.

Key responsabilites:

Strategy Development and Implementation

- Attend AC meetings and participate actively in ensuring long-term funding support and ensuring alignment to Mada’s operational strategy, growth and quality standards of our programs.

- Communicate regularly with the AC on program issues, challenges and opportunities and ensure implementation and monitoring to AC strategical decisions.

- Reflect strategically in setting short and longer-term objectives and annual operating plans to be able to achieve the operational strategy.

- Support actively in determining fundraising opportunities in close coordination with the CA.

- Organize general assembly (every two years), elections, and members and friends activities.

- Report monthly on finance and project to the AC and upon request

- Draft board agenda in coordination with AC president

 

Project staff development

- Draft the staff Job description

- Supervise administration and finance coordinator and project coordinators and smooth running and progressive transition for Mada

- Coach and manage project staff in various areas such as but not limited to: proper delegation, empowerment, clear segregation of duties, etc.

- Ensure implementation of strong reporting disciplines with project staff, which enhance program quality and build positive relationship with donors and beneficiaries.

- Ensure that Mada’s spirit and values are correctly appropriated

- Ensure staff compliance with Mada’ core values and policies.

- Ensure the continuous capacity building for the staff

- Ensure staff evaluation is implemented and follow up on staff development objectives

 

Project and Program implementation

- Conduct regular field monitoring visits(twice a month) to ensure proper implementation of planned activities

- Organize weekly (Beirut's team) and monthly (All Mada’s staff) coordination meetings

- Ensure that a positive environment exists in the project office and staff is well managed

- Ensure that annual operating plans are implemented and the expenditures are within the budget.

- Ensure high level quality projects/programs in alliance with Mada’s standards. Lead on the strategy, development, implementation and evaluation with close coordination with projects coordinators.

- Work closely with the Finance team and projects coordinators on setting and reviewing project budgets.

 

Internal and external Communication

- Ensure flow of information's between staff, AC and Mada’s members

- Define members involvement and expansion strategy and follow up on its implementation

- Ensure yearly association reports are produced

- Supervise /elaborate communication strategy

 

Funding Strategy

- Organize and maintain  good relation with donors and different stakeholders

- Developfunding strategy in cooperation with the AC, the Finance and Administration coordinator

- Supervise proposal development in coordination with project coordinators, AC and in alignment with Mada operational strategy.

 

Association Financial supervision

- Work closely with the Finance Coordinator on the setting and reviewing  of the annual budget

- Ensure Mada financial projects related documents are correct and archived

- Follow up Mada’s guidelines and financial procedures are correctly implemented

 

Platform and expertise

- Ensure Mada’s expertise and platform projects are running smoothly and prepare progressive transition

 

Key competencies:

Knowledge, skills and abilities

- Full adherence to Mada’s Mission and vision, as well as Ethic code

- At least 10 years’ experience in development work

- Experience in team management

- University degree in a field related to Community development work

- Excellent organizational and time-management skills.

- Good managerial and leadership skills.

- Good interpersonal and oral communication skills.

- Excellent written Arabic and English, with good command in spoken Arabic and English. French is an asset.

- Computer literate with a high degree of proficiency and productivity.

- Clear understanding of the workings of major donor perspectives, requirements andstandards.

- Must be able to represent Mada to major program donors in a highly professional manner, in person and in writing.

- Experience in Project Cycle Management.

Key responsabilites:

Duties: KAFA is seeking a senior program coordinator for its program on MDWs’ rights within the Exploitation and Trafficking in Women Unit. The following duties are requested from the position holder:


-         Lead the development, implementation, and monitoring of projects within the MDWs program, as well as manage the day-to-day work of the Unit team

-         Work closely with migrant domestic workers communities, provide them with necessary support and capacity building

-         Organize regular planning and reporting meetings with community outreach volunteers and gather feedback on community mobilization activities on a regular basis

The Media & Public Relations Officer’s main responsibilities and duties are:

■ Manage ABAAD’s media exposure with the aim of raising awareness about the organization’s work and values while  encouraging individuals, groups and communities to collaborate with ABAAD.
■ In collaboration with the management and programs departments, develop, manage and implement strategic internal and external communication plans and activities that support ABBAD’s mission and goals.
■ Promote ABAAD’s gender-related messaging and campaigns through the full range of available media channels.
■ Identify opportunities to increase ABAAD’s public relations and enhance its Visibility (image/brand).  
■ Help in the development and implementation of a robust brand identity for ABAAD.  
■ Develop relations and partnerships with local, regional and international organizations and agencies.
■ Represent ABAAD at specific meetings and events.
■ Assist in the development and implementation of ABAAD’s funding strategies and activities.
■ Build, manage and maintain excellent relations with all press and media entities and individuals in Lebanon.
■ Answer all inquiries generated by the press, the public and media.  
■ Provide training/guidance to staff and partners in image building and the effective delivery of key messages to different kinds of audiences at events such as media interviews, speeches, reports and presentations.
■ Measure the impact and value of all media campaigns and activities and provide adequate recommendations.
■ Monitor and research the concerns and expectations of ABAAD’s partners and stakeholders and accordingly the findings  to the management.
■ Prepare press releases, communiqués and generate information (info graphs; fact sheets; press clippings) related to different projects and media campaigns and events.
■ Promote and disseminate quality information on ABAAD’s produced resources and services on a regular basis and as needed.
■ Coordinate and manage ABAAD’s publication activities such as content management, norms for publishing, design, etc.
■ Conduct regular communications, visibility and marketing needs assessments and research for ABAAD.
■ Lead the development, supervision, and maintenance of ABAAD’s website, periodical newsletters and other social media mediums.  
■ Coordinate with all ABAAD’s project team members to ensure that all activities are properly documented and subsequently publish them on various social networking and media sites.

Key competencies:

Education Requirements

■ University Degree (preferably Master’s degree) in Marketing, Journalism, Media, Public Relations, or a relevant field.
■ Relevant courses in marketing, social marketing, branding, fundraising, public relations, grant- writing, project management, etc.  

Skills Requirements

■ A minimum of five years practical experience in media, communications and public relations.
■ An established record of accomplishment in media, public relations and/or marketing planning and management.
■ Knowledge and understanding of NGOs and nonprofits and the gender and rights based approach.
■ An ability to be proactive in developing plans, activities and relationships with stakeholders including journalists and decision makers.
■ Experience with the use of IT, online and social media tools to advance organizational communications and visibility goals.
■ Experience in organizing events such as press conferences, workshops and meetings.
■ Experience in GBV programming is a plus.
■ Fluency in written and spoken English, French and Arabic. Additional languages are an asset.
■ Experience in working effectively with members of the media and in preparing and providing speeches and presentations to different audiences.

ABAAD PURPOSE: ABAAD aims at achieving gender equality as an essential condition to sustainable social and economic development in the MENA region. ABAAD has a proven record in working in addressing GBV in emergency settings. 
 
JOB PURPOSE: 
Key responsabilites:
-  Provide full admin support to the team and various departments;
-  Perform data-entry, documentation, printing and filling duties;
-  Sorts and distributes mail. Draft written responses or replies by phone or email when necessary;
-  Schedules and organizes activities such as meetings, travel, conferences and other organization activities for all ABAAD employees;
-  Monitor calendar of team members and deadlines with donors;
-  Liaise with stakeholders and  suppliers;
-  Ensures timely response to all correspondence;
-  Establishes, develops, maintains and updates filing system for the  director and the organization;
-  Maintain a proper and user friendly filling and document control system for recording and tracking of all documents;
-  Organizes and prioritizes large volumes of information and calls;
-  Support ABAAD departments in daily admin roles and keep stock of stationary supplies for each department;
-  Put up purchase requests for all approved purchases for the necessary approvals and verify invoices for the raised purchases upon delivery of goods and services;
-  Assist on any ad-hoc tasks as required by the director;
-  Serve as information clearing house for those who want info on GBV in MENA/Responds to regularly occurring requests for information;
-  Liaise with Media Manager to distribute ABAAD newsletter and annual report to stakeholders.
 
REPORTING LINES: 
Post holder reports to: ABAAD Director  
 
Key competencies:

-        University degree in social science, business administration or related discipline, including gender and development;

-        Proven track record of working in a similar capacity with a national and/or international NGOs in the region;

-        Experience in field coordination, monitoring and follow up;

-        Experience in event management and coordination;

-        Ability to multitask; and ability to manage multiple deadlines

-        High level of discretion and judgment;

-        Excellent oral and written communication skills in English, French and Arabic;

-        Demonstrable ability to work with others and as part of a team;

-        Knowledge and skills in computer usage including word, excel, power point, and social media;

-        Excellent organizational skills;

-        Maintain hard and electronic resources in the library;

-        Monitor inventories;

-        Can support the team to deliver best outcomes in a very demanding workload;
